How To Get Everyone Involved In Family Reunion Planning

A family reunion planner carries the torch handed on by the previous generation. Accept this opportunity with dignity and grace, for it is an honor and a great trust is bestowed. 

That means picking up where they left off. Some former reunions planners keep detailed notes regarding prior family reunion planning, organizing, and management. Consulting their notes, journal, and contacts can get you off to a good start.

Getting everyone involved can be a challenge. As my book, Fimark's Family Reunion Planner explains, be fully inclusive of members in your immediate household, siblings, cousins, parents, aunts, and uncles as well as extended family. 

Send out a survey with some suggestions regarding the reunion theme, itinerary, and associated activities. Ask for more feedback and openly commend those who contributed.

When To Start Planning The Next Family Reunion?

So I want to plan a gathering. I have this itch. An excruciatingly itchy itch I must scratch right here, right now. I want my event to materialize a few weeks from now. The problem? Not going to happen. If anything I'm just going to end up with a lot of scratch marks where my itch used to be.

Benn there. Done that.  And this is what I learned. The best event planning is done when you've given yourself enough time to really dig in and get into it. Sometimes you have to plan to start planning before you can actually start planning. Set a date with ample time to plan consider possible event details. Then rally the family and discuss the matter to narrow down the theme, itinerary and activities. 



When To Start Planning The Next Family Reunion?
When is the best time to start talking to the family members about the next family reunion? November 23rd to January 2nd. This is family time season. Everyone is in the frame of mind to focus on family activities. Discuss some of the ideas you and others have for a memorable family reunion. Consider possible dates for the event and pick up the discussion again sometime in December. 1. Form a family reunion committee.

4. Next delegate members of the committee to man departments typical of a big event. This may include your welcome department, food and drink department, entertainment department, genealogy research, and presentation, etc...
5. Meet periodically to update the group on the progress being made.

How To Plan A May Reunion In March


So it's March and you're far behind planning your May Family reunion. What to do?
First calm down and take a deep breath. You can still swing this thing. We just have to think simpler
and be creative.

First and foremost consider where you will hold the gathering. When it comes to planning a short notice event your location makes all the difference. This will determine the activities, and festivities. Here's a bullet list of great venues that do not require several months booking notice.

  • Backyard Bar-B-Que.
  • All you can eat restaurant with private dining room
  • Pot luck picnic under shady park trees
  • Beach party 
  • Theme park 
  • Dinner Cruise Ship
  • Hotel pool party
  • Call banquet halls for cancelled reservation
Get everyone involved. Delegate, delegate, delegate. Keep it simple. Focus on having fun. Don't sweat the small stuff.
